Senior Event Manager

The successful candidate should have 3+ years of experience producing large-scale events and experiential projects. We’re looking for business acumen, project management, and strategic creative skills, along with the ability to lead and motivate a team to execute award-winning experiences. Senior Event Project Managers are responsible for the success of our largest projects, leading the project team in creating and managing all aspects of the experience.

What you will be doing:
Using plenty of imagination, our Senior Event Project Managers work alongside their team members to innovate and implement current event trends for our clients. These pros work hand-in-hand with our sales team to discover each event’s creative needs and deliver our client’s vision within their budget. Our event project managers constantly push the envelope in an environment where excellence is the norm.
You will be developing creative and logistically sound proposals, ensuring accuracy and cost-effectiveness, to then present them to clients. Your role will require self-directed sales efforts to get buy-in and close business.
Once an event is booked, you will be the side-by-side partner to our clients to execute the event services. Using independent judgment and discretion, you are responsible to ensure event services are completed professionally and to the company’s standards. The Senior Event Project Manager is responsible for assuming all roles within the team of sales, creative services, and operations on an as-needed basis.
Programs range in size from 10 – 3,000+ attendees, and services provided include, but are not limited to: event décor design, off-site venue selections, catering support, lighting, floral, entertainment, etc .
You will also grow and enhance vendor relationships and consistently look for new and creative methods to maintain our competitive advantage in the marketplace.
Essential Job Functions and Responsibilities:
- Work to develop custom proposals with accurate pricing to generate company profits within the dedicated margin guidelines for services including but not limited to; transportation, food and beverage, décor, entertainment, productions, or other unique or specific proposals.
- Maintain a profitable Profit & Loss statement within the company set margins during the proposal process.
- Create and maintain the client folder with budgets and proposals, including collecting all vendor proposals and contracts and preparing the program to operate.
- Effectively manage and develop vendor/venue relationships by selecting appropriate venues/vendors for each program.
- Research and identify industry trends and new venues and effectively communicate new information via internal communications.
- Consistently update a complete tariff of client data.
- Discuss and participate in brainstorming sessions regarding client programs with the Sales and Creative Director to develop creative ideas and practical solutions for the particular client.
- Strong communication and negotiation skills to interact with clients via phone, email, virtually, and in person.
- Support conference calls and direct communication with clients as needed.
- Organize, conduct, and sometimes participate in client site inspections as needed.
- Adaptability to assume a sales role or operations role as needed.
- Assist with client events onsite, as needed.
- Maintain involvement with memberships in industry associations and potentially attend industry conferences and networking events.
- Detail-oriented – the ability to thoroughly review all proposals and budgets before sending them for approval.
- Adherence and legal compliance with event vendor and venue specifics
- Mentor fellow project managers.

Special Considerations
- Must be available for client needs; Ability to work long hours, evenings, and weekends as needed.
- Travel may be required.
Your experience and skills include:
- Bachelor’s Degree preferred.
- Broad knowledge of event production.
- Hospitality/event or hotel industry experience.
- Advanced competency using Microsoft products and graphic design programs such as Canva, Social Tables, All Seated, or Meri.
- Strong negotiation and communication skills.

Mugwump Productions is based in Jacksonville, FL and is where our corporate office is located. This is where you will spend office days planning and collaborating with the team is in a newly built building conveniently located near the Town Center (off 295 & Beach Blvd.).
